Cancellation & Refund Policy

This Cancellation & Refund Policy (“Policy”) applies to transactions made through the Arena Sports Platform, including event registrations, camp and training program enrollments, private lessons, digital course purchases, subscriptions, invoices, and payment links. This Policy is incorporated by reference into our Terms of Service. Where an event, lesson, creator, organization, or checkout screen states a more specific cancellation rule, the more specific rule controls unless prohibited by law.

Arena Sports serves transactions across the United States. Refund, subscription, auto-renewal, consumer-protection, tax, chargeback, youth-program, and event-cancellation laws may vary by state. This Policy applies to the fullest extent permitted by law and does not limit any non-waivable cancellation, refund, chargeback, or consumer right that applies to your transaction or activity location.

The 3.49% + $0.30 buyer service fee is non-refundable in member-initiated cancellations unless Arena Sports is legally required to refund it or expressly states otherwise in writing.

Multi-Session Events

For events with multiple sessions, cancellations after the event has begun are prorated based on the number of remaining sessions that have not yet occurred. No refund is provided for sessions already completed.

Per-Session Pricing

If the event uses per-session pricing, refunds are calculated based on the individual session prices for sessions not yet attended.

2.Training Program Cancellations

Full Program Enrollments

Cancellations of full program enrollments follow the same timeline as event registrations (Section 1). For recurring multi-week programs, refunds after program commencement are prorated based on remaining sessions.

Monthly Subscriptions

Monthly subscription billing for training programs is processed automatically on a recurring basis until cancelled, paused where available, failed, expired, or otherwise terminated. You may cancel a subscription at any time from your wallet or by contacting support. Cancellation generally takes effect at the end of the current billing period, and you keep access through the period already paid for. No partial-month refunds are provided unless required by law or expressly approved by Arena Sports.

Paused Subscriptions

Where pause controls are available, pausing stops future collection while the subscription is paused. Access to sessions may be suspended during the pause. If an auto-resume date is set, billing may resume automatically on that date through Stripe.

Service fees and Stripe processing fees are non-refundable for all training program cancellations.

4.Digital Courses

Digital course purchases are non-refundable once course access has been granted upon successful payment. This is because digital content is delivered immediately and cannot be returned. Chargebacks, duplicate charges, fraud, legal rights, or documented access failures may be handled separately.

Exceptions

The creator platform fee on courses is deducted from creator earnings. A 3.49% + $0.30 buyer service fee is charged to the member and is non-refundable in standard buyer-initiated refund requests.

5.Waitlist Transactions

Joining a Waitlist

No payment is required to join a waitlist. Your waitlist position is free.

Spot Offers

When a spot becomes available, you receive a notification and have 6 hours to accept. Upon acceptance, a 7-day Stripe payment hold (pre-authorization) is placed on your payment method for the registration amount.

Declining or Expiring Offers

If you decline a spot offer or the 6-hour acceptance window expires, the payment hold is released and your waitlist position is forfeited. No charges are incurred.

Accepted Spots

Once you accept a waitlist spot and the payment hold is captured (converted to an actual charge), the standard event or training cancellation policies (Sections 1–2) apply.

6.Guest Checkout Cancellations

Purchases made via guest checkout are subject to the same cancellation policies as registered user purchases. Guest checkout may automatically create an account tied to the email used at checkout. To request a cancellation, contact our support team with your order confirmation number and the email address used at checkout.

7.Special Circumstances

Weather-Related Cancellations

If a session or program is cancelled by the creator or Arena Sports due to severe weather, unsafe field conditions, or facility closures, a full refund or credit toward a rescheduled date will be offered at the creator’s discretion.

Medical Emergencies

Refund requests due to medical emergencies (participant illness, injury, or hospitalization) require supporting documentation (physician’s note, hospital record, or similar). Arena Sports will make reasonable accommodations for verified medical situations, even outside standard cancellation windows.

Behavioral Dismissal

If a participant is removed from a program by the creator due to behavioral issues, safety violations, harassment, bullying, misconduct, repeated disruption, noncompliance with program or facility rules, or risk to others, no refund is issued for the current or remaining sessions unless Arena Sports determines otherwise or applicable law requires a refund.

Force Majeure

If a program cannot be held due to events beyond reasonable control (natural disasters, pandemics, government orders, facility emergencies), Arena Sports will work with creators to offer full refunds or credits for rescheduled dates.
